Manage Dashboards

After creating dashboards, you can select a dashboard to view, pin frequently used dashboards, edit previously created dashboards, and set up notifications to send dashboard updates by email.

Note: To view or manage dashboards, you must be in a group that has Dashboard permission. For more information, see Manage users.

Select a Dashboard to View

When you click Dashboard on the side menu, the system dashboard opens. To display another dashboard, click the arrow to the right of the dashboard name and make your selection. You can also access dashboards from your library by selecting My Library > Dashboards and clicking the dashboard name.

The management actions described in the rest of this article are accessible from the top icon bar of the dashboard.

Most are also accessible from the More menu (...) for the dashboard on the My Library > Dashboards page.

Pin Frequently Used Dashboards for Easy Access

To make frequently used dashboards more easily accessible, use the pinning capability. Open the dashboard and click the Pin icon on the top icon bar.

Now when you select a dashboard from the dropdown list, your pinned dashboard is shown at the top of the list.

Share a Dashboard

To share a dashboard, click More icon (...) from the dashboard or the My Library > Dashboards page and select Share. For information on the selections in the Share dialog, see Share items from the content library.

Sharing a dashboard doesn't automatically share all of the data. Whether a user can view or modify the data in the dashboard widget depends on whether they have access to the data set that populates the widget.

Edit a Dashboard

Click the More icon (...) from the dashboard or the My Library > Dashboards page and select Edit. The dashboard designer opens. Modify the dashboard as described in Create a dashboard and then click Save.

Delete a Dashboard

Go to My Library > Dashboards page. Click on 3 dots (...) and select Delete. Click OK to confirm.

Set Up Email Notifications for Dashboard Update

You can make dashboards available to others in your organization by setting up an email notification schedule. At the scheduled times, recipients receive an email with a PDF version of the dashboard.

  1. To set up a schedule for dashboards, click the Schedule Report icon from the dashboard or select Schedule from the More menu on the My Library > Dashboards page.
  2. Enter a name to identify the schedule.
  3. Enter a comma-separated list of email addresses for the recipients.
  4. Enter the date in Cron format, or click Use Regular Scheduler and select the start date, end date, and frequency. For information and examples of Cron format, see Cron time string format.
    Example: 0 8 1 * *
    refers to 8am Pacific time on the first day of each month. The minimum repeat frequency for a schedule is 10 minutes.
  5. Click Done.

The schedule is created and a PDF report of the dashboard is sent according to the schedule.

To view or modify the current schedule for a dashboard, click the Schedule Report icon from the dashboard or select Schedule from the More menu on the My Library > Dashboards page.
In the dialog box, click View Existing Schedules. All of the dashboards that have a schedule are listed. To edit a schedule, click the Edit icon and to delete, click the Delete icon.
